9 Months Prior to Arrival

  • Get your group together to discuss next year's trip.
  • Determine what experience your group is looking for from its vacation destination.
  • Get details such as lodging preferences and budget ranges.
  • Collect contact information from the group members, so you can keep them updated.

  • 6 Months Prior to Arrival

  • Book lodging, banquet space, change rooms and transportation needs (Be conservative!).
  • Collect the non-refundable deposits from your group.
  • Pay deposits.
    • The lodging company, banquet department and the airline will require a deposit and signed contract to hold space for your group.
    • Be prepared for three initial deposits and be aware that there will be some kind of penalty for canceling any or all of the space. Review the terms and conditions of your contracts carefully and ask questions before you pay any money.
  • Plan another fun, social event to keep your group doing things together throughout the year. This will help the success of your group's trip to Copper Mountain!

  • 90 Days Prior to Arrival

  • Check contracts to see when monies are due again.
  • Collect and pay deposit to lodging company.
  • Get brochures for the resort, lodging, ski area (if winter) and activities, to distribute to your group members. You might want to print a flyer with trip details to distribute to your members.
  • Start talking to members about additional activities for the trip. We have a variety of meals and activities that can be easily arranged for your group at various costs. View our summer or winter group activities.

  • 60 Days Prior to Arrival

  • Collect any remaining final payment from your trip participants.
  • Adjust lodging and airline reservations to match your group size.
    • Cancel any unsold space with airlines and lodging company. Check each contract carefully for specific cut-off dates, deadlines and penalties.
  • Submit final payment and participants names to airlines.
    • When you submit the final payment for airline tickets, include a typed list of names. A misspelled name will create problems for your group. Use names as they appear on each person's ID. Please check your airline contract for pertinent dates, deadlines and penalties.
  • Reserve Group Activities.
    • If your group has expressed interest in one of our many group activities, now is the time to make reservations. Call your group service coordinator for a reservation or information. How about a Welcome Reception or a Mountain Tour to start off your visit. View our summer or winter group activities.

  • 30 Days Prior to Arrival

  • Submit the final payment to lodging property.
  • Contact your Group Services Coordinator for your group forms.
    • Begin completing your lift ticket order, room assignments, rental order and lesson order.
    • Be sure you are ordering the correct type and dates. Many group activities can also be ordered and paid for at this time.
  • Pass out Tips and What to Bring to your members.

  • 21 Days Prior to Arrival

  • Send in your group service forms and payment. Skier services (lift tickets, rentals, lessons) must be pre-ordered and pre-paid 21 days prior to arrival. Rooming list is due 21 days prior to arrival.
  • Baggage handling, if needed, must be pre-arranged 21 days prior. We highly recommend this if arriving by coach.

  • 10 Days Prior to Arrival

  • Confirm final arrangements with your Group Services Coordinator; make sure you have confirmed arrival times, baggage handling needs and details, time and procedures for all your group's events.
  • Detail an itinerary/schedule for groups' reference. Otherwise when you arrive, your group will rely on you to have all the answers.
